Information YardDog handles

How it is used

Guest driver check-in collects the driver’s entered name, carrier, trailer number and optional notes for the receiving yard’s authorized staff. These details are supplied by the driver and are not identity verification. Guest check-in does not create an account or grant access to yard records.

We use this information to sign you in, show the right tools for your role, keep your company’s yard in sync, maintain the trailer directory and activity history, provide support, manage a subscription if one is available, and protect the service from misuse.

People in your company can see records according to their YardDog access. A trailer shared through an intercompany workflow may be shown to the receiving company as part of that workflow.

Services involved

Guest check-in uses Cloudflare Turnstile to help detect automated abuse. Cloudflare processes browser and network information during this security check. YardDog uses a rotating, keyed hash of the connection address for short-lived attempt limits; the check-in records do not contain the raw address.

YardDog uses Supabase for account sign-in and application data. Map views use OpenStreetMap services; an address you search or a map tile request may be sent to those services. If a company uses paid billing, checkout and the billing portal are provided through Stripe.

YardDog does not use trailer or account data for targeted advertising or sell it to data brokers.

Storage and retention

Trailer issues contain the trailer, reported location, comments, optional photo and review history. Photos are stored privately and shared with the reporter and authorized staff in their company. Company report history can remain after a reporter deletes their account. Unsaved report drafts are cleaned up after seven days when notification processing is active.

If you enable device notifications, YardDog stores that device’s push subscription and uses the browser or device provider to deliver trailer and report status alerts. Push alerts do not include report photos or comments. You can disable them in Profile → Device notifications, or change permission in device settings. Signing out removes subscriptions tied to that session.

The app stores session information on your device so you can stay signed in, along with preferences such as appearance. Your company’s records are stored while the account and service need them. The activity view provides a four-month history; that display window does not mean every underlying record is automatically erased at four months. Other data may need to be kept for account, security, billing or legal reasons.

Access to a company’s data is limited by account and role. No internet service can promise absolute security, so please use a strong password and do not share sign-in details.

Your choices and requests

You can update your display name, sign-in email or password in Profile. A company manager can manage team membership and yard records. To ask about access, correction or deletion of your personal information, use the Contact page. Some company records may need coordination with the company that entered them, and some information may need to be retained where required.

We may update this policy as the service changes. The latest version and its date will be posted here.
